REAL TIME ATM RECONCILEMENT PROCEDURES
1. If ERS has not already done so for you, open a new account on your system for ATM POSTING EXCEPTIONS.
Account number MUST be 411411411
Name is ATM END OF DAY MARKER.
In the Special Indicator Flags
PERMANENT ACCOUNT INDICATOR = Y
DOLLAR ACCUMULATOR ACCOUNT = Y
Open an R and a D share type on this account. (No funds need to be deposited into these share types)
Program #5 Opt G. R and D share types PERMANENT OPEN/CLOSED FLAG= Y
Any ATM transactions with invalid account number or for $0 will post to this account number.
Daily a flag will be set, using this account number, to indicate the end of day of ATM processor's
settlement (usually 3pm Eastern Time). This allows you to go from the sequence number for this
indicator one day, to the sequence number of the next day’s indicator to match your posting totals to your
ATM processor's reports.
2. Be sure that all General Ledger defaults are set up correctly. (See chart at the end of this document).
VERY IMPORTANT!!!! When closing a share type or account that has an existing ATM card, be sure to contact your ATM processor and block the card. If for any reason the ATM system should go into stand-in-balance, this member would be able to do transactions even if the account or share type are closed.
END OF DAY CLOSING PROCEDURE
Because RT ATM transactions are happening constantly, you should do your end of day closing routines in the following order to assure that Program #7 and GL totals agree:
1. In Program #7 use Option F to ZERO out teller totals BEFORE posting GL.
2. Posting to GL
Program #35 Option V Option 1, ENTER
Choose Option J ENTER
Up Arrow to highlight the first line
Home to set that sequence range
Choose Option A, and post as you always have.
3. Compare the balance in Option G Shares in your GL to the Shares total in Program #7 Option J.
FINDING SPECIAL REALTIME ATM TOTALS
1. Go to Program #7
2. To find the End Of Day sequence number (last transaction before Star System's 3:00 cut off time) use +RT- Password -or- Option H, Option 19 and account number 411411411
3. Use Option E to set your beginning sequence range. Typically you will set the beginning to be 2 or 3 days BEFORE the date you are wanting to balance and the ending sequence to be at least 1 day after.
4. Choose Option C
5. Choose the appropriate Teller Password from the following:
+RT ATM Posting list of individual transactions
+RT9 ATM Posting list of transactions done manually in Program #2
+RT- RT ATM transactions that resulted in below pledge balance in the account.
+RT+ Compares actual posting totals to your ATM Processor’s posting and settlement report and lists any differences.
BALANCING ERS POSTING TOTALS TO YOUR ATM PROCESSOR'S TOTALS
1. Go to Program #7
2. Use Option E to set your beginning sequence equal to 2 or 3 days BEFORE the date you are wanting to balance and the ending sequence to be at least 1 day after.
6. Choose Option C
7. Teller Password +RT+
Following is an example of the +RT+ printout you would use to balance

Totals = Total withdrawals and deposits posted to members.
Transactions listed = Transactions that didn't post, or posted incorrectly. These corrections need to be made manually to your member accounts using the proper ATM Transaction codes. NOTE: We suggest you set up a Teller Password (ATM for example) to be used for posting only these transactions. It makes them much easier to locate later if there is a need to do so.
G.L. SETTLEMENT = This is from your ATM processor's settlement report, and is the amount posted to your members' accounts. This amount does NOT include transfers from one share type to another.
PDF/PRG#7 COMPUTED SETTLEMENT = your ATM processor's settlement total plus transfers from one share type to another.
PROG#7 09/28/2003 = Total amount posted to your G.L. via Program #7 totals.
Total Adjustment = This is the total of the Transactions listed. This total added to the PROG #7 total equals the PDF/PRG#7 COMPUTED SETTLEMENT, indicating that you are in balance with your ATM processor after making the corrections indicated in the Transaction listed section.
NOTE: Be sure to check account # 411411411. There should be NO balance in this account. If an ATM item did post to this account it will appear on the +RT+ report, and should be transferred to the proper member's account.

BALANCING MANUALLY
YOU ONLY NEED THIS IF AN EXAMINER OR AUDITOR SHOULD WANTS PROOF IT CAN BE DONE MANUALLY.
This method simply explains how to manually do what ERS is doing for you in the +RT+ feature.
You have to add ATM transactions from Star System's cutoff on 3/10 that were included in your 3/11 GL and not their report.
You add your GL posting for 3/11
You subtract ATM postings after their cutoff on 3/11
In this example we are balancing what happened on our system to Star System's 3/11 report.
Star System's end of day sequence numbers (Program #7, Option H, #19 search)
3/10 2413484
3/11 2414666
Credit Union 3/11 beginning and ending Sequence numbers (Program #7 Option J)
3/11 2414162 thru 2415527
In Program #7, use Opt E to set sequence range to pick up Star System transactions done from 3/10 cutoff to the beginning of your 3/11 posting to GL.
2414162 - 2413483
Choose Option A and Teller Password +RT
Debit to Investments $1512.67
Credit to Investments is $20,125.88
Total of your ATM transaction posting to the GL on 3/11 Sequence # 2414162 - 2415527
Debit to Investments $1130.17
Credit to Investments $29,939.39
In Program #7, use Opt E to set sequence range to pick up Star System transactions done from 3/11 cutoff to the end of your 3/11 posting to GL.
2414666 - 2415527
Choose Option A and Teller Password +RT
Debit to Investments $545.98
Credit to Investments is $20,507.65
