SECURE PASSWORD OVERVIEW  EZMemo GROUPS   MEMO GROUPS

2049.htm

This password setup is required by the recent SAS70 security audit.  This is a fairly complex change, and it is recommended that you read this entire document before you actually begin to put the procedures in place.

The two main objectives of this password combination are to tie the Linux Password to the actual Posting Password, and to give the employee the ability to change their Linux Login Password and Posting Password themselves.  In the future (once the program is well tested and any problems resolved) management will not have access to the employee's actual Posting Password or Linux Password.  It will, however, be possible to retrieve teller totals by entering the User Number assigned to this teller.

OVERVIEW

Each employee is assigned a unique, User Number, Posting Password, User Initials, User Name,  Linux Login ID, and Linux Password in Program #60 Option B.

When you log onto a terminal you must enter your unique Linux Login ID and Linux Password.

You will be taken to the Program #1 Good Morning screen.  Enter your credit union's main password.  A window will be displayed asking you to enter your Posting Password.  It must match the Linux Login Password in (Program 60 Opt B).  If you do not enter your Posting Password within 60 seconds the login procedure will "TimeOut" and ask you to re-enter your Linux Login Password.

You can tell the system at this point whether all transactions done on this terminal will use this Posting Password automatically, or if you choose to enter your Posting Password and Linux Login Password manually for each transaction.

See below for more detailed instructions.

SETTING UP PASSWORDS INITIALLY - Done by Management

Program 60 Option B      There are 256 User Numbers available.

For purposes of this document, we will be using User #010 as examples listed in Blue Italics below.

User Number - This is just a number assigned to the line you are using in this program.  Totals in Program #7 Opt I can be pulled using this User Number. This number appears on the Status line at the bottom of your computer display screen    Example #010

Posting Password - The secret password that a teller enters to perform a transaction.  This can be up to 6 positions, alpha upper or lower case or numeric.  The first 3 positions MUST be unique.   Example lc6132

User Initials - The initials that appear on vouchers and reports.  Avoid duplicate initials.    Example LLC

User Name - The name of the person using these passwords.  This name will appear in the EZMemo feature (see separate documentation) and also on the Status line at the bottom of your computer display screen.  Example LINDA C

Linux Login-ID -  The user ID this person enters to log onto the CreditUnion2000 Linux system.     It must be a minimum of 5 positions with all alpha characters being lower case.  This ID will appear on the Status line at the bottom of your display screen.   Example pcu010   (Since this is NOT a secret field, you may want to keep it simple.  In our example we use the CU initials and the User Number in all cases for the Login-ID.)

Linux Password - The secret password this person uses to log onto the CreditUnion2000 Linux system.  This password can be from 5-16 alpha/numeric characters, with alpha characters being lower case.  Example llcjwcccbdjj

EZ-Memo Groups - Using a code entered in this field allows you to send an EzMemo to everyone in a specified group.  Each credit union can set up group codes as they choose  (i.e. M = Management L = Loan Department, 1=Branch 01, etc.).  Each employee can belong to up to 3 groups.

LOGGING ONTO THE SYSTEM    Done by each person using the system

1.  Double Click on the EZTerm icon.

2.  This box will appear:

3.   Enter your personal Linux Login ID (Example pcu010)  and Linux Login Password (Example llcjwcccbdjj )  assigned in Program #60 Option B.      NOTE: This Login Password and the Posting Password MUST match for transactions to be completed.

4.  You will come to the Program #1 Good Morning screen.  Enter your Credit Unions Password for this program.

5.  The Teller Terminal Lock box will appear.

6.  Enter your Teller Posting Password (Example lc6132)

If you do not want to continue to login at this time you can type LOCK in place of your Posting Password.

7.  After your password is entered, and the system verifies that it matches the Linux Login Password used , the next line in this box will display the following information that corresponds to your teller password in Program #60 Option B

Your EZMemo Group codes    (Example MA)

Your User Number   ( Example 010)

Your User Initials   ( Example LLC)

Your User Name     ( Example LINDA C)

8.  Enter Y if you wish this terminal to enter your Posting Password automatically when entering transactions or static changes.

Enter N  if you wish to be prompted to enter your  Posting Password and your Linux Login Password for each transaction or static change.

NOTE: If you choose to have your password automatically entered  anyone can post a transaction on your terminal and it will automatically be posted with your Posting Password.  When temporarily leaving your terminal it is very important to take LOCK your terminal to prevent others from posting transactions using your Posting Password.  See detailed instructions below for LOCKING YOUR TERMINAL.

9.  If you do not want to change your Posting Password or Linux Login Password press ESC.

10  You can also change your Posting Password and/or your Linux Login Password here.  In the future this password will not be displayed in Program #60 Option B, and will be known only by you.

CAUTION:   If you change your Posting Password in the middle of the day, you will have transactions using both passwords, and will have use your User Number instead of Posting Password in Program #7 Option I to balance your cash drawer.

STATUS LINE

The Status line at the bottom of your screen display will list your Linux Login ID, User Name and xcheck Terminal ID (from XCHECK on this particular terminal).  This allows anyone to tell who is logged in on this terminal.

If EZ-Memo is flashing at the right end of the bar, there is a Memo waiting for you.

At the top of the screen click on EZMemo and View Memos.  See detailed instructions for EZMemo.

POSTING TRANSACTION ON SOMEONE ELSE'S TERMINAL

If you wish to post a transaction on a terminal that someone else is logged into, simply press the Space Bar to blank out their password and type your own Posting Password.  You will be prompted to enter your Linux Login Password.

LOCKING YOUR TERMINAL

When you are going to temporarily leave your terminal it should always be locked so that others cannot post transactions using your Posting Password.  This can be achieved using any of the following methods:

1. On the top Toolbar on EZTerm click on ‘Lock’.    Your terminal will be locked and no transactions can be done until you enter YOUR personal Linux Password in the following box:

Any  login password entered other than yours will result in an error message and the terminal will remain locked. When you return to your terminal simply enter your Login Password and you will be in the same place in the system that you were when you locked the terminal.

2.  Go back to Program #1 Good Morning screen.

3.  Click on Action and Disconnect.  Your terminal will no longer be active.
